Terms, Privacy & Refunds
These three policies govern your use of Provenway Academy. Please read them before booking a session.
These policies are provided for general information and may be updated as Provenway grows.

Section 1
Terms of Service
1.1 Who we are
Provenway Academy ("Provenway", "we", "us") provides one-to-one tutoring for ACCA qualification papers, delivered online, in a hybrid format, or face-to-face. These terms form the agreement between Provenway and you, the person booking a session ("you", "the student").
1.2 What a session is
A session is a scheduled block of tutoring time (30, 60, or 90 minutes) with a named FCCA-qualified tutor, covering the ACCA paper you selected at booking. Sessions are teaching and exam-technique support. They are not an accountancy, audit, tax, or financial advisory service, and nothing said in a session should be relied on as professional advice for a real-world matter.
1.3 No guarantee of exam outcome
Tutoring improves preparation; it does not guarantee a pass. We make no representation about your result in any ACCA examination, and fees are not refundable on the basis of an exam outcome.
1.4 Booking and payment
A slot is held for you for 15 minutes from the moment you begin checkout. The booking is confirmed only once payment has completed and we have received confirmation from our payment processor. If payment is not completed within the hold period, the slot is released and may be taken by another student.
Prices shown at the time of booking are the prices that apply to that booking. A later price change does not affect a session you have already paid for.
1.5 Attendance and lateness
Please join at the scheduled start time. If you are late, the session still ends at its scheduled end time. If you do not attend at all and have not cancelled in line with Section 3, the session is treated as delivered and no refund is due.
If a tutor cannot attend, we will offer you a rescheduled session or a full refund, at your choice.
1.6 Your conduct
Sessions must be used lawfully and respectfully. We may end a session and decline future bookings without refund where a student is abusive, attempts to record a tutor without consent, or asks a tutor to complete assessed work on their behalf.
1.7 Materials and intellectual property
Notes, worked examples, and materials shared in a session are provided for your personal study only. They remain the property of Provenway or the tutor and may not be resold, republished, or distributed.
1.8 Not affiliated with ACCA or any professional services firm
ACCA® is a registered trademark of the Association of Chartered Certified Accountants. Provenway Academy is an independent tutoring service and is not affiliated with, endorsed by, or accredited by ACCA.
References on this site to our tutors' experience at "Big Four" or other professional services firms describe employment history and professional background only. Provenway Academy is a separate, independent venture and is not affiliated with, approved by, endorsed by, or sponsored by any professional services firm. Tutoring sessions and materials are delivered by our tutors in a personal capacity and do not represent the views, methods, or quality standards of any employer, past or present.
1.9 Limitation of liability
Our total liability arising from any session is limited to the amount you paid for that session. We do not exclude liability for death or personal injury caused by negligence, for fraud, or for any other liability that cannot lawfully be excluded.
1.10 Changes and governing law
We may update these terms; the version published at the time of your booking governs that booking. These terms are governed by the laws of Scotland, and the Scottish courts have exclusive jurisdiction.
Section 2
Privacy Notice
2.1 Who controls your data
Provenway Academy is the data controller for the personal data described here. You can reach us using the contact details on our home page.
2.2 What we collect
We collect only what we need to run bookings:
- Your name and email address, when you create an account.
- Your time zone, detected from your browser, so session times display correctly for you.
- The ACCA papers you tell us you are studying.
- Your booking history: tutor, paper, format, duration, date, price, and status.
- The date and time you accepted these policies.
2.3 Payment data
Card payments are processed by Stripe. Your card number, expiry, and security code are entered directly into Stripe's payment form and are never seen by, transmitted to, or stored by Provenway. We retain only a payment reference, the amount, the currency, and the payment status.
2.4 Why we process it, and on what basis
We process your account and booking data to perform our contract with you. We process a limited record of transactions to meet our legal accounting obligations. We rely on legitimate interests for keeping the service secure and preventing abuse. We do not use your data for advertising and we do not sell it.
2.5 Who we share it with
Your name, the paper, and the session time are shared with the tutor delivering your session. We also use service providers who process data on our behalf: Stripe for payments, and our cloud hosting and database provider. We do not share your data with anyone else except where the law requires it.
2.6 How long we keep it
Account and booking records are kept while your account is active and for six years afterwards, in line with UK accounting record-keeping requirements. You can ask us to close your account at any time.
2.7 Your rights
Under UK GDPR you have the right to access your data, to have inaccurate data corrected, to have data erased where we have no continuing legal basis to keep it, to restrict or object to processing, and to receive your data in a portable form. Contact us to exercise any of these. If you are unhappy with our response, you can complain to the Information Commissioner's Office (ico.org.uk).
2.8 Cookies and storage
We store a sign-in token in your browser so you stay logged in. This is strictly necessary for the service to work. We do not use advertising or tracking cookies.
2.9 Session feedback
If you leave feedback on a completed session, we collect it internally for quality and tutor development purposes only. It is visible to your tutor and the Provenway Academy team, and is never published, shared with other students, or used in marketing.
Section 3
Cancellation & Refund Policy
In short: cancel more than 24 hours before your session starts and you get a full refund. Within 24 hours of the start time, the session is non-refundable.
3.1 Cancelling more than 24 hours ahead
You may cancel any session up to 24 hours before its scheduled start time and receive a full refund of the amount you paid. Refunds are issued to your original payment method and typically appear within 5 to 10 business days, depending on your bank.
3.2 Cancelling within 24 hours
A session cancelled less than 24 hours before its start time is non-refundable. The tutor's time has been reserved and can no longer realistically be offered to another student. You may still cancel so the tutor knows not to expect you, but the fee is retained.
3.3 Non-attendance
If you do not attend and did not cancel, the session is treated as delivered and no refund is due.
3.4 Unpaid reservations
A slot you reserved but never paid for is not a booking. It is released automatically once the 15 minute payment window expires, and nothing is charged.
3.5 If we cancel
If Provenway or your tutor cancels a session for any reason, you receive a full refund regardless of timing, or a rescheduled session if you prefer. This applies even inside the 24 hour window.
3.6 How to cancel
3.7 Rescheduling
We do not yet support rescheduling in the app. To move a session, cancel it under this policy and book a new slot.
